The University of Warwick Science Park is the West Midlands leader for the combined provision of quality office space and business support for knowledge-based innovation led companies across Coventry, Warwickshire and Solihull.  For over 30 years it has been one of the leading science parks in Europe.  As a result of its success the Science Park now needs a full-time Administrator for its operation at the University of Warwick Science Park.

The successful candidate will provide an efficient and comprehensive administrative and tenant support services for the University of Warwick Science Park. To support the Building & Facilities Manager in the delivery of effective and relevant operational procedures.

We are looking for an experienced, enthusiastic and well-motivated individual to join our team. The successful applicant must have excellent customer service and administrative skills, a good telephone manner, should be enthusiastic and well-motivated, together with the ability to interact with staff, tenants, visitors and contractors. Word processing skills, experience in the use of Microsoft Office/Word/Excel packages and a good standard of English are essential attributes.

  • Providing customer services and proactively generating business
  • Supervision of reception staff and reception service and manning reception on occasion
  • Managing IT support for users of the telephone system
  • Microsoft Office skills with excel proficiency
  • Following routine building procedures and policies i.e. weekly fire alarm tests, fire and emergency lighting checks, twice yearly fire evacuations, issuing access cards
  • First aid/ Fire Marshall, Health and Safety Certificate or willing to train
  • Provide administrative support for new and renewing leases and licences, ensuring administrative processes comply with financial procedures
  • Update and maintain tenancy schedules for all commercial property managed by the Science Park. Ensure correct information is shown for the raising of monthly rent invoices and direct debit collections, copy schedule to Management Accountant and Centre Managers.
  • Maintain weekly logs for Heads of Terms, leases/licence, Approval requests sent to University, approval of lease/licence returned, log notification to solicitor, Centre Managers and The Universities Group Finance Director.
  • Financial Administration, using the SAP financial package (training will be given) to include inputting invoices and producing and processing purchase orders.  Gather information to correctly invoice tenants on services provided through business services.

The Business Ready programme provides fully funded support to ambitious, tech-based SMEs who share a common determination to succeed. We support a diverse portfolio of clients by helping them meet their potential by overcoming the barriers to scalability and sustainable growth.

We are into the second iteration of this successful programme and looking to add key skills to our friendly and experienced team.

Applicants should evidence, either in their CV or covering letter, proven skills in at least one or more of the following areas:

• Access to finance
• Digital and enabling technologies (including 5G and AI/ML)
• Electric and autonomous vehicles
• Market development or change management.

You are someone who understands the unique challenges that drive SME business growth. You have a track record of success working across sectors and industries. You are able to engage and establish trust quickly, and draw on a range of experiences to support the business and its management team. You know your limits and are able to judge when best to bring in supplementary expertise to support the client.

Working out of University of Warwick Science Park you will be joining an experienced, friendly and supportive group who are passionate about making a positive difference and helping to drive success in the West Midlands. Experience of operating within an ERDF (or equivalent) funding environment would be desirable. Roles may be part-time or full-time depending on the mix of talents selected to constitute the team.
